Privacy Policy

What NovaLearn collects, why it needs it, who else sees it, and how you take it back. No dark patterns and no fine print — if we do something with your data, it is written down here.

In short

We keep what the service needs to work: your account, the material you upload, and the study tools generated from it. We do not sell your personal data, and we do not train third-party public models on your coursework.

You can see and delete your data, and close your account, at any time. This page explains what that actually covers.

Who this applies to

This policy covers anyone using NovaLearn — students, self-learners, and the instructors and institutions using the classroom and enterprise views. It covers the website, the apps, and the study tools we provide to signed-in users.

What we collect

We hold three groups of data, and they are different in kind:

  • Account data — the email address you sign up with, the name and profile photo attached to it, and which sign-in method you used. If you sign in with Google, Google supplies your name, email and photo; we do not ask you to re-enter them.
  • Your material and generated study tools — the files, links and notes you upload, and the notes, flashcards, outlines, quizzes and study plans generated from them. This includes pasted notes.
  • Product data — sign-in events, error reports and coarse usage counts that tell us which features work and which break. Activity performed while signed out is not tied to an account.

How we handle sign-in

Passwords and authentication tokens are handled by our authentication provider, Firebase. We never see or store your password. If you signed up with Google, we receive an identity token from Google and never see your Google password.

Choosing to stay signed in keeps your session on your device for 30 days. Choosing not to sign out at the end of a session keeps it only for that session.

Why we use it

  • To run the service: generate your study tools, save your progress, and keep you signed in.
  • To keep it working: debug errors, measure which features are used, and prevent abuse.
  • To support you: answer a support request, and confirm your access if you are in a class.
  • To send service messages about your account, such as a security alert or a password reset. Marketing email is separate, and unsubscribing does not affect service messages.

Who we share it with

We do not sell your personal data, and we do not share it for anyone else's advertising.

We share the minimum necessary with the infrastructure providers that run the service — hosting, authentication and storage — so the product can function. Each is bound by contract to process your data only on our instructions.

If you are in a class using the classroom or enterprise view, your teacher sees aggregate progress such as mastery and time spent. They do not see your individual answers, notes, uploads or private conversations with Nova.

AI and your coursework

Your uploaded material and your conversations with Nova and Tutor Me are used to generate study tools for you. They are not used to train third-party public models, and they are not sold.

Generated output is stored with your account so you can come back to it. Deleting the material removes the study tools derived from it.

How long we keep it

We keep your account and its study tools for as long as your account is open. Closing your account deletes your personal data from our active systems, and from backups on the schedule our infrastructure allows.

We keep limited records — an email address, or a record of a terminated account — only where we need to, for example to keep a user out after a ban or to meet a legal retention duty.

Your rights

Depending on where you live, you may have the right to:

  • access a copy of your personal data, and to correct data that is wrong;
  • delete your data, or restrict or object to certain uses of it;
  • receive your data in a portable, machine-readable form;
  • withdraw consent where our use relies on it;
  • complain to your local data protection authority.

How we protect it

Data is encrypted in transit. Access to learner data by our staff is limited to what support requires, and access is logged.

No system is perfectly secure. If a breach affects your data and we are legally required to tell you, we will.

Children

NovaLearn is not directed at children under 13, and we do not knowingly collect their personal data. If you believe a child has given us personal data, contact us and we will delete it.

For school and university users we support institutional consent processes so a younger student's account is set up with the appropriate oversight.

Where your data is stored

We store your data with providers in the United States. If you use NovaLearn from elsewhere, your data is transferred to the United States to provide the service, under the safeguards those providers maintain.

Changes to this policy

We may update this policy. When a change materially affects your rights we will tell you before it takes effect, and the updated date at the top of this page will change.
